Privacy Policy

Dustshader ("we", "us", "our") is committed to being transparent about how we handle information. This Privacy Policy explains how we collect, use, and share information when you use Phoenix Guardian, Phoenix Tickets, or Phoenix Universal Protectors (collectively, the "Bots"), and when you use the Phoenix Guardian web dashboard at phoenix-guardian.com (together with the Bots, the "Service"). By using the Service, you agree to the practices described in this policy.
1. Information We Collect
Server data: we collect information about the servers where a Bot is installed, including server IDs, channel IDs, user IDs, and message content the Bot processes in order to provide its features (for example, automod scanning, logging, or ticket handling).
Usage data: we collect information about how the Bots are used, such as commands issued, errors encountered, and performance metrics, to help us maintain and improve the Service.
Account information from Discord (dashboard OAuth login): when you log into the Phoenix Guardian dashboard, Discord provides us your Discord user ID, username, avatar, and the list of servers you belong to along with your permission level in each. We never see or receive your Discord password.
Access and refresh tokens: Discord issues these to us when you log into the dashboard so we can act on your behalf while you're using it (for example, checking your permissions in a server). They are stored server-side, not in your browser.
Server configuration and moderation records: settings that server administrators configure through the dashboard or bot commands, including automod word lists, designated logging channels, leveling and counting configuration, join-role setups, giveaway records, ticket transcripts, and moderation records such as warnings (which include the warned member's Discord ID and the reason given).
Session and technical data: a session cookie keeps you logged into the dashboard. Because the dashboard is served through Cloudflare, Cloudflare processes standard connection metadata (such as IP address) as part of routing traffic; we do not separately log or store this ourselves beyond what is needed to operate and secure the Service.
2. How We Use Information
We use the information described above to provide, maintain, and improve the Bots' and dashboard's functionality; to troubleshoot issues and optimize performance; to apply server administrators' own moderation and configuration choices; to authenticate dashboard access and enforce permission checks; and to communicate updates, maintenance schedules, or issues with the Service. We do not use your information for advertising, and we do not build advertising profiles.
3. Data Sharing and Disclosure
We do not sell your personal data to third parties. We share information only with the infrastructure providers necessary to operate the Service, acting as our service providers: Discord (as the underlying platform), our database provider (MongoDB), and Cloudflare (which proxies and secures traffic to the dashboard). We may also disclose information where required by law or legal process, or where we believe in good faith that disclosure is necessary to protect the rights, property, or safety of Dustshader, our users, or others.
4. Data Retention
We retain data for as long as necessary to fulfill the purposes described in this Privacy Policy, unless a longer retention period is required by law. We do not delete tickets, warnings, logs, or other interactions with the Bots on request. All data is retained for operational, moderation-continuity, and improvement purposes. Removing a Bot from a server, or a user leaving a server, does not automatically delete previously collected data associated with that server. We do not currently offer a self-service data deletion process.
5. Data Security
We take reasonable technical steps intended to secure the data collected by the Service, including restricting network access to essential ports and services and using industry-standard authentication practices. However, no method of transmission over the internet or electronic storage is entirely secure, and we cannot guarantee absolute security.
6. Cookies
The dashboard uses a functional session cookie required to keep you logged in while using it. We do not use third-party analytics, tracking, or advertising cookies.
7. Your Choices
You can revoke the dashboard's access to your Discord account at any time in Discord's own Authorized Apps settings, and server administrators can remove a Bot from their server at any time. Doing so stops future collection of information through the Service but does not retroactively delete information already collected, as described in Section 4.
8. Children's Privacy
The Service is not intended for users under the age of 13 (or the higher minimum age required by Discord in your region), consistent with Discord's own eligibility requirements. We do not knowingly collect personal data from children under 13.
9. International Users
The Service is operated from, and data is stored in, the United States. If you access the Service from outside the United States, your information will be transferred to and processed in the United States, which may have different data protection laws than your country of residence.
10. Changes to This Privacy Policy
We may update this Privacy Policy from time to time. Continued use of the Bots or dashboard after any changes are posted constitutes your acceptance of the updated policy. Material changes will be reflected by updating the date at the top of this page.
11. Governing Law
This Privacy Policy is governed by the laws of the State of Texas, consistent with our Terms of Service.
